Instructions to fill out the On‐line Registration Form Postgraduate Programs Admissions and Registrar’s Office International Affairs Secretary’s Office The objective of this set of instructions is to provide future students with a practical guide on how to fill out the Registration Form for graduate programs at Universidad Javeriana. The Registration Form can only be filled out in Spanish and on line. Therefore, we suggest you first study the vocabulary herein so that you are clear about the meaning of words in Spanish. In case you do not have the language level required for this task, we suggest you complete the form with the help of someone who has a good level of Spanish. Users can save information on the system. Thus, the form can be completed in various stages. In order to enter the system, you only need to type the ID number and the e‐mail address provided at the beginning of the registration process (see the first screen of the form.) There you will find a short description of the contents on each screen along with the corresponding snapshot. Below each item, you will find instructions on how to fill out some of the boxes on each stage of the form. You will often find two icons on the form: a calendar and a magnifying glass. These icons will facilitate both data search and registration concerning dates (calendar) and places (magnifying glass). You just need to click on the icon you are interested in. When clicking on the magnifying glass, the system will take you to a new screen with the title “Consultar País”. Once there, you must click on “Consulta,” and then you will see a list of countries to choose from. After choosing your country, the system will automatically take you to the previous form page (if you wish to return before, you can also click on “cancelar”) We strongly suggest you use these icons to carry out your inquiries. After completing the form, we recommend you print and keep your copy of the document for your own records. Screen 1: Accessing the Admission Self‐service On this page you need to enter the type and number of your ID. You must enter your personal e‐mail address as well. Remember that these data will be requested whenever you enter the system again. In order to continue, please click on “ingresar”. BOXES Doc Identidad: You must type the number of the ID you selected. Screen 2: Entering the Program you desire On this screen you only need to fill out the table to the left (“Documento Principal”). Please type the date and place your ID was issued and your date of birth. Use the calendar and the magnifying glass icons in order to carry out your inquiries. When clicking on “Seleccionar programas,” the system activates the fields where you will record the program of your interest, as well as the type of registration and the period when you will start your studies. “Programas por Inscribir” BOXES Tipo de programa: When you select “posgrado,” the system will display a list of graduate programs offered by the University. Please select the program you wish to register in. Tipo de Inscripción: Please type the letters PSP Periodo de ingreso: Please remember the following information about the academic calendar of the University: Primer periodo = It refers to the first academic semester, which goes from January to June. Segundo periodo = It refers to the period running between the two academic semesters, from June to July. Tercer periodo = It refers to the second academic semester, which goes from July to December. Once you have finished, click on “siguiente” to continue. Screen 3: Entering Basic information On this part of the Form, you must enter your basic data (name, family name, sex, marital status), place of birth, and address/phone number where you can be contacted (“Datos de Contacto“). BOXES Estado civil: Once you click on this box, you will find several options: Casado (married), divorciado (divorced), no consta (unregistered), religioso (clergyman), separado (separated), soltero (single), unión marital de hecho (cohabitation), viudo (widow.) Lugar de nacimiento: In order to select the country, use the magnifying glass icon. Datos de contacto: If you can be contacted through someone in Colombia, we suggest you enter your contact’s information. If you do not know anyone, type your current place of residence. Teléfono: When you enter your phone number, please include your country’s IDD prefix and the city code. For example: +51 1 3208320 (+51 for Colombia and 1 for Bogotá.) Once you have finished, click on “siguiente” to continue. Screen 4: Entering Academic and Work Information In this stage, you must provide general information about your academic and work experience. Click on “Info Académica Posgrado” (see the box on the bottom of the screen) to access the Form where you will be able to enter this information. On this Form, you will enter the data requested according to your experience (university degrees obtained, other studies, languages spoken, work experience, teaching experience, research experience, publications, and awards.) If you wish to provide more information in each box, use the + button. BOXES Información pregrado Universidad de procedencia: Please select “Universidad extranjera”. Fecha grado: Enter the date you officially obtained the degree. Experiencia Laboral Entidad: Enter the name of the company you have worked at. Cargo: Enter the job/position you had there. Experiencia Docente Asignatura: Enter the name of the class you have taught. Experiencia Ivestigativa Objetivos: Enter the name of the research project or the academic field you were working on. Publicaciones Título: Name of the publication. Datos bibliográficos: Enter the date and place of such publication. Distinciones Nombre distinción: Official name of the award you have received Entidad: Name of the institution granting the award Fecha distinción: Date when you received the award Justificación de ingreso: You need to describe briefly the academic and/or personal reasons why you have decided to join the graduate program of your choice at Universidad Javeriana (there is no word limit, but conciseness is recommended.) If you wish to return to the previous page and continue with the registration process, click on “Aceptar” at the bottom of the screen. Screen 5: Entering Emergency Contact Information You need to enter sufficient information from at least one emergency contact in Colombia. Screen 6: Paying and Printing out the Form In order to pay the admission fees (US $67), there are two options: 1. Make an on‐line payment using an international credit card. If you choose this option, click on “Pago en Línea” (see Form), select the corresponding card (Master Card or Visa) and enter your data in order to allow the transaction. 2. Make a deposit directly at a Citybank branch office. Do not forget to keep the original proof of payment, with a stamp of the bank: you need to send it to Javeriana along with all the other documents in order to complete your registration. Finally, please do not forget to print the Form. Click on “Imprimir Formulario” and you will get a copy of the whole filled out document.
